How does eTracer see my e-transfers?
You set up a single forwarding rule in your email — Interac e-Transfer notification emails get forwarded to a private receiving address we assign to your account.
eTracer never connects to your mailbox. We have no access to your inbox and cannot see any message you don't forward. That's a deliberate design choice: it means there's no mailbox for us to lose.
How long does setup take?
About five minutes. You create the forwarding rule, connect QuickBooks Online, and you're done. The next e-transfer that lands matches itself.
We'll walk you through the forwarding rule for your specific provider — Gmail, Outlook, Yahoo, or a custom domain. The steps differ slightly but all take under two minutes.
Which accounting software do you support?
QuickBooks Online today.
Xero, FreshBooks and Zoho Books are in development and not yet available to connect. If you're on one of those, email us and we'll tell you honestly where it stands.
Do you need my bank login?
No — and we never will. eTracer never touches your bank. We read forwarded payment notification emails and write to your accounting software. There's no point in the system where a banking credential would be used.
Will it ever match the wrong invoice?
Auto-matching only happens when confidence is high and there's a clear lead over the next candidate. If two invoices could plausibly fit — same amount, similar name — it goes to your review queue for a one-tap confirmation rather than a silent guess.
What if someone else pays on a client's behalf?
Confirm it once. eTracer remembers that mapping and matches automatically from then on. Learned mappings are visible and deletable in Settings.
Can I undo a match?
Most of the time, yes — bookings reverse from inside eTracer and the audit trail records it.
There is one case where we can't. If the accounting period a payment was booked into has since been locked, QuickBooks may refuse to reopen it. When that happens eTracer tells you plainly instead of attempting a workaround, and the correction has to be made in QuickBooks directly. We'd rather say so than quietly do something unexpected to your books.
Does a receipt go out automatically?
Only if you've turned that on. Receipts are sent from your connected QuickBooks account so they come from your business, not from us.
How do you know a forwarded email is genuine?
Every forwarded message is cryptographically verified before it's used. We validate the original DKIM signature and require it to come from Interac's signing domain.
This matters: without it, anyone could forward a fabricated "you've been paid" email and inject a false payment into your books. A message that fails verification never reaches your ledger.
Where is my data stored?
Our primary database is hosted in Canada. Some providers we rely on operate in the United States, and your information is processed there — which means it may be accessible to U.S. legal authorities regardless of the protections in our policy. We set this out in full, provider by provider, in our Privacy Policy.
How is my data protected?
Authorization tokens for your accounting platform are encrypted at rest with AES-256-GCM authenticated encryption and are never exposed to your browser. All traffic is encrypted in transit (TLS 1.2+).
We don't sell your data, and we don't use it for advertising.
What does signing in with Google give you?
Basic profile information only — openid, email, profile. That's used to authenticate you and nothing else.
We do not request access to your Gmail messages. Interac notifications reach us only because you forward them.
How do I cancel?
One click in Settings. No phone call, no retention pitch. Your data stays available for export until you delete the account.
How do I delete my data?
Delete your account in Settings, or email privacy@etracer.ca. Personal data is removed within 30 days; encrypted backups age out on their own retention cycle after that.
What happens to my books if I stop using eTracer?
Nothing changes. Every payment eTracer booked stays in QuickBooks exactly as it was — the records are yours and live in your accounting software, not ours.
The fastest fix comes from the invoice number, the payer's name, and roughly when the e-transfer landed. With those three we can usually tell you what happened on the first reply.
