e-Transfer showing up but not matching to your invoice in QuickBooks?

You're not doing anything wrong, and nothing is broken. Here's exactly why it happens — and how to stop doing it by hand.

Why the match never happens on its own

If you've searched this, you've probably already tried the obvious things: refreshing the bank feed, checking the customer name, looking for a rule to build. The reason none of it works is that the information QuickBooks needs was never in the transaction to begin with. Interac e-Transfers deliberately carry no invoice reference. The name attached is whatever the sender's bank supplies — frequently a spouse, a business name, or an abbreviation that matches no customer record you have. And because service work repeats at the same price points, the amount alone rarely identifies one invoice. QuickBooks isn't failing to match; it has nothing to match with. That's why the deposit sits in For Review indefinitely, and why the workaround everyone lands on is doing it manually every week.

How eTracer fixes it

Two connections. Five minutes. You never chase an e-transfer again.

1
Your filter forwards the e-transfer email
Your one-time Gmail filter forwards each Interac notification to your private eTracer address the moment it lands — eTracer never connects to your inbox, and every email is verified as genuinely from Interac.
2
It matches the right open invoice
Using the amount, timing, and what it's learned about each payer, eTracer finds the matching invoice in QuickBooks Online. Anything unclear waits for a one-tap confirm.
3
It books the payment and sends the receipt
The invoice is marked paid in your books and a branded receipt goes to your client automatically. You just get paid.

Works the way you already get paid

The missing information does exist — just not in the bank feed. It's in the Interac notification email your bank sends you: sender, amount, date, and often a memo line. eTracer reads that email, proves it came from Interac, and uses it to make the match your bank feed can't.

In practice
Common cases we see: a spouse pays under their own name · a company pays for an individual · two open invoices sit at the same amount · a client sends the balance in two partial transfers. All four are unmatchable from the bank feed alone.

Questions

Good questions, straight answers.

Can I fix this without another tool?
You can, and plenty of people do — by matching manually each week, or by asking clients to put the invoice number in the memo. The second works until a client forgets, which is most of them. eTracer just removes the manual step.
Will it match transfers I already received?
It matches transfers going forward, from the moment your forwarding filter is set up. Older unmatched deposits stay in For Review for you to clear once.
What if it matches the wrong invoice?
Anything it isn't confident about waits for you instead of guessing. If a confident match is still wrong, one click undoes it — the entry reverses in QuickBooks and the payment returns to your queue.
